# Privacy Policy

This policy explains what personal data spiritroom.app collects, why, and what you can do about it. Spirit Room is an early-access service built by Probe Labs.

## Who is responsible

The controller of your personal data is GoReplay LLC, which operates Probe Labs and Spirit Room ("we", "us"). Contact: pilots@spiritroom.app.

## What we collect

**Pilot requests.** When you submit the "Book a pilot" form we store: your name, work email, company (optional), what you want to train, which button you clicked, the plan you picked, your browser's user-agent string, your approximate country (from Cloudflare), and the time of submission.

**Update signups.** When you use "Get updates" we store your email address, the time, your approximate country and which form you used.

**Analytics.** We use PostHog, hosted in the EU (eu.i.posthog.com), to understand how the site is used: pages viewed, buttons clicked, form submissions and errors, plus device and browser details and an approximate location derived from your IP address. PostHog sets a cookie and local-storage identifier in your browser to recognise repeat visits. When you submit the pilot form, the submission event is linked to your email address.

**Google Analytics.** We also use Google Analytics 4 (measurement ID G-T7158Z08QT), provided by Google LLC, to measure site traffic. It collects the pages you view, referrer, device and browser details, and an approximate location derived from your IP address, and sets first-party cookies (`_ga`, `_ga_*`) to distinguish visitors. We use it only to understand which pages and channels bring visitors so we can improve the site. Google may process this data in the United States. You can opt out with Google's browser add-on: https://tools.google.com/dlpage/gaoptout

**Hosting logs.** The site runs on Cloudflare Pages. Cloudflare processes technical request data (such as IP address, user-agent and request time) to deliver and protect the site.

We do not ask for sensitive personal data. Please don't include any in free-text fields.

## Where it is stored and who processes it

- **Cloudflare** (hosting, Cloudflare Workers KV storage for form submissions, and Cloudflare Email Service, which sends us a notification email for each submission).
- **PostHog** (analytics, EU hosting).
- **Google LLC** (Google Analytics 4, site traffic measurement).
- **Google** (the notification emails are delivered to our Gmail inbox).

These providers act on our behalf. Some may process data outside your country, including in the United States, under their standard data-protection terms.

## Why we use it (and the legal basis)

- To reply to your pilot request and run a pilot you asked for: steps taken at your request before entering a contract.
- To send the updates you signed up for: your consent. You can withdraw it at any time.
- To measure and improve the site, and to keep it secure: our legitimate interests.

## What we don't do

We do not sell your personal data, share it for advertising, or use it to train AI models.

## How long we keep it

- Pilot requests: up to 24 months after our last contact with you, unless we enter into a contract.
- Update signups: until you unsubscribe or ask us to delete it.
- Analytics data: under PostHog's retention settings for our project, at most 24 months.
- Google Analytics data: at most 14 months under our GA4 data retention setting, then deleted by Google.
- Cloudflare logs: under Cloudflare's standard retention.

## Your rights

Depending on where you live (for example under the GDPR or UK GDPR), you can ask to access, correct, delete or export your data, object to or restrict how we use it, and withdraw consent. To unsubscribe or make a request, email pilots@spiritroom.app. We will reply within 30 days. You can also complain to your local data-protection authority.

You can block analytics by blocking cookies for this site or using a tracker blocker; the site still works.

We will update this page when our practices change and update the date at the top.
